Privacy policy

In short: Heimtreffer only passes on the details from your request to up to three solar companies with your consent, so that they can prepare a quote for you. A quote you upload for checking is seen only by Heimtreffer. It does not go to any other company, and the copy on the server is deleted after 30 days. The website runs on a Hostpoint server in Switzerland. Some service providers are based in the USA. Statistics and advertising services only run with your consent.

What data we process and why

When you make a request via the form: project (new installation or extending an existing one), building type, roof type, interest in battery storage, preferred timeframe and postcode, from which we derive the town. We use this to find suitable solar companies and assess your project.

Also in the request: first name, last name, email, phone number and, if you wish, your address. These are used for contact, advice and passing on to solar companies.

During the consultation: quotes and contracts from the solar companies, to compare them and to settle accounts with the chosen company.

When you contact us by email, phone, form or social media: the content of your messages, to respond to your request.

When you visit the website: technical data such as IP address, browser and pages visited, for the operation and security of the website. For analysis and advertising only with your consent.

We only process data that is needed for these purposes. We only send emails with tips and news if you have expressly agreed to this. You can unsubscribe at any time.

Forms and confirmations

Whatever you send via a form on this website goes to Heimtreffer by email. The server at Hostpoint in Switzerland stores a copy. You receive a confirmation at your email address.

Contact form: we only use your first name, last name, phone, email and message to respond to your request.

Partner application: we only use the details from the ‘Become a partner’ form (company, website, postcode, town, service area, first name, last name, phone, email, message) to assess a partnership and get back to you.

Postcode check

The check whether a postcode is in the Canton of Zurich or in Thurgau runs in your browser with a list from our server (source: official directory of localities of swisstopo). Nothing is transmitted to third parties.

Having a quote checked

On the ‘Quote check’ page, you can upload up to five files as PDF, JPG or PNG. You also provide your first name, last name, phone, email and postcode. We use this to prepare your assessment.

Only Heimtreffer sees the files. They arrive as an email attachment in the Heimtreffer mailbox and are also stored on the server at Hostpoint in Switzerland. There, the server deletes them automatically after 30 days.

Heimtreffer does not pass your quote on to any other company, not even to partner companies. If you would like comparison quotes, we only pass on your details from the form, never the quote itself (see ‘Disclosure to partner companies’).

Disclosure to partner companies

If you make a request and agree to the disclosure, we pass your details on to up to three suitable solar companies from our partner network. They contact you, visit your property if you wish and prepare a quote.

If Heimtreffer cannot find a suitable solar company in the partner network, Heimtreffer may pass your request on to another suitable solar company (GTC section 2.4). We will inform you of this beforehand. You will learn which companies receive your details in our first conversation, before we pass them on.

The partner companies are businesses based in Switzerland. They may only use your data to process your request and to carry out any contract. If a contract is concluded, we receive a referral commission from the chosen partner company. For this purpose, we exchange with it the details needed for invoicing.

You can withdraw your consent to the disclosure at any time. The partner company then processes data already passed on under its own responsibility. You can contact it directly.

Service providers and tools

We use carefully selected service providers who process data on our behalf. They may only use the data for the agreed purposes.

Web hosting and email: Hostpoint AG, Rapperswil-Jona, Switzerland. The website and the mailbox info@heimtreffer.ch run on their servers. The copies of the forms and the uploaded quotes are also stored there.

Log files: each time a page is accessed, the Hostpoint server stores the IP address, date and time, the page accessed, the previously visited page and details of the browser. This keeps the website running and helps to detect faults and attacks. According to Hostpoint, it deletes this data automatically as soon as it is no longer needed for operation. For most data, this happens after six months at the latest.

The other service providers are listed in the following sections with their purpose and country.

Spam protection with Cloudflare Turnstile

The forms are protected by Cloudflare Turnstile, a service of Cloudflare, Inc., San Francisco, USA. Turnstile checks whether a form is being sent by a human. For this, it processes the IP address and details about the browser and the connection.

Cloudflare also uses this information under its own responsibility to improve detection. The check is needed for the forms to work and runs without consent. Cloudflare is certified under the Swiss-U.S. Data Privacy Framework and otherwise relies on standard contractual clauses.

CRM and communication

We manage requests and customer contacts in the HighLevel CRM of HighLevel LLC, Dallas, USA, a subsidiary of GoHighLevel Inc. HighLevel processes the data on our behalf.

We transfer the details from the forms there: first name, last name, email, phone, postcode, address (if provided), your selections in the form and your message, plus a note of which form you used to reach us. We do not transfer uploaded quotes; the CRM only contains their file names.

We also send you emails and text messages via HighLevel. HighLevel is certified under the Swiss-U.S. Data Privacy Framework (participant HighLevel Inc. including LeadConnector LLC). The disclosure to the USA is based on this.

Disclosure abroad

Some of the service providers mentioned process data in the EU or in the USA. Data may be disclosed to the EU because the Federal Council recognises that it has an adequate level of data protection.

For the USA, this only applies to companies certified under the Swiss-U.S. Data Privacy Framework. For other providers, we secure the disclosure with standard contractual clauses or comparable safeguards. Despite these measures, authorities in the USA may under certain circumstances access data.

Cookies and links

Our website uses cookies and similar technologies. Technically necessary cookies are required for the operation of the website and are always active.

The cookie notice has two equal buttons: ‘Decline’ and ‘Accept’. Your browser stores your choice without an identifier for 12 months in localStorage under ‘cookie_consent_v1’. Without local storage, a cookie of the same name holds it. You can change it at any time via ‘Cookie settings’ at the bottom of every page. You can also delete or block cookies in your browser.

The font is served from our own server. Links to other websites are simple links. The privacy policy of the website concerned only applies once you click one.

Analysis with Google Analytics

We only set cookies for analysis (Google Analytics) if you agree in the cookie notice. This lets us see how our website is used.

‘Accept’ loads Google Analytics. ‘Decline’ does not load the service. Until you choose, the website does not load it either.

Google receives your IP address, details of your browser and device, the pages visited and whether you have sent a request (without its content). Google Analytics stores an identifier in the cookie ‘_ga’ for up to two years.

Google Analytics is provided by Google Ireland Limited (Ireland) and Google LLC (USA). Google LLC is certified under the Swiss-U.S. Data Privacy Framework. Google processes the data partly under its own responsibility. Details can be found in Google’s privacy policy.

You can change your choice at any time via ‘Cookie settings’ at the bottom of every page. If you withdraw your consent, the website deletes the Google cookies and no longer loads the service.

Retention and data security

We only keep your data for as long as necessary for the purposes stated. We delete data on requests that did not lead to a contract no later than 24 months after the last contact. We keep records of referrals for the statutory retention period of 10 years.

The server automatically deletes the copies of the forms after 24 months and uploaded quotes after 30 days. The periods in the first paragraph apply to the emails in the Heimtreffer mailbox. How long Hostpoint keeps log files is stated under ‘Service providers and tools’.

We protect your data with appropriate technical and organisational measures, such as encrypted transmission and restricted access rights.

Your rights

Under the Data Protection Act, you have the following rights: information on which data we process about you; correction of incorrect data; deletion of your data, unless there is a statutory obligation to retain it; objection to processing and withdrawal of consent; release of your data in a common electronic format.

Send your request to info@heimtreffer.ch or by post to the address under ‘Controller’. We may ask for proof of identity. If you do not agree with our response, you can contact the Federal Data Protection and Information Commissioner (FDPIC), edoeb.admin.ch.

Changes

We may amend this privacy policy, for example when we use new services. The version published on this website at the time applies.
